This policy explains how Sentinel 127 dba Sentinel Solutions, LLC collects, uses, retains, and deletes information associated with inquiries, prospective engagements, and related communications.
1. Scope and purpose
The policy applies to information submitted through website inquiries, email, phone, future intake tools, scheduling communications, and related qualification or follow-up. Information belonging to an active client may be governed by a separate agreement, statement of work, legal obligation, or contract-specific retention rule.
2. Information we may collect
Sentinel 127 seeks the minimum information reasonably needed to understand and respond to a request. This may include name, email address, phone number, preferred contact method, inquiry category, problem description, systems involved, desired outcome, project timing, budget context, scheduling information, and internal qualification or routing notes.
Do not send passwords, authentication tokens, Social Security numbers, payment card data, medical information, private keys, or confidential records unless an approved secure method has been explicitly established.
3. How information is used
Information may be used to understand, route, qualify, and respond to inquiries; prepare consultations, proposals, or follow-up; maintain communication history; improve service operations; protect security; meet contractual or legal obligations; and prevent abuse.

When an inquiry becomes an active engagement, relevant information may move into client, project, contractual, financial, security, or support records governed by the applicable agreement and legal requirements. Unnecessary duplicates should be removed.
6. Service providers
Information may be processed by providers that support hosting, email, communications, scheduling, document management, analytics, security, AI-assisted processing, or other operational functions. Providers should receive only the access required for their role and remain subject to applicable contractual, technical, and administrative safeguards.
7. AI-assisted processing
Sentinel 127 may use AI-assisted tools to summarize, classify, route, draft, or analyze inquiry information. AI-processed data should be retained no longer than the underlying business purpose requires. Material decisions remain subject to human oversight.
8. Deletion requests
To request deletion of inquiry or prospect information, email support@sentinel127.com. Sentinel 127 may take reasonable steps to verify identity and normally completes valid requests within 30 days.
Deletion may be limited or delayed where information is required for legal obligations, security investigations, fraud or abuse prevention, contract enforcement, dispute resolution, or another lawful purpose.
9. Backups and legal holds
Deleted data may remain in protected backups for up to 90 days until the applicable backup cycle expires. Backup data is not used for routine operations. A legal hold, security investigation, or comparable obligation may temporarily suspend normal deletion.
10. Children
Sentinel 127 does not intentionally design its inquiry process for children under 13 and does not knowingly seek their personal information.
11. Policy review and changes
This policy is reviewed at least annually and may be updated when services, systems, providers, laws, or operating practices change. The effective date identifies the current published version.
